Policies
Conflict Resolution Policy
The EAVC Women's Volleyball Club Executive Team recognizes that conflicts and concerns do arise. They are committed to ensuring concerns are heard and that a resolution is found. The following guidelines should be taken when a conflict arises.

·If the conflict does not pertain to an athlete, parent or team, all concerns can be addressed directly to the Executive Director (Brad Pylypow)

·If the conflict does not immediately impact the well-being of the athlete or parent, we ask that parties involved wait 48 hours before contacting coaches.
​
Step 1: Athlete contacts the Coach
·After 48 hours, athletes should contact their coach asking for a meeting and outlining what it is they would like to discuss.
·Meetings should take place outside of normal practice/game hours.
·Parents are welcome to communicate with Coaches when their daughter is unable to provide them with sufficient details surrounding their question/concern. ​

If a resolution is not found after the initial step, the following step can be taken. ​

Step 2: Parent contacts the Coach
·The parent should contact the coach through email requesting a meeting and outlining what they believe still needs to be addressed and how they would like to see the conflict resolved.
·Meetings should take place outside of normal practice/game hours.
·Coaches will inform the Executive Director that a meeting is taking place.

If the parties reach agreement on a resolution at this meeting there is no need for further action. The coaches will inform the Executive Director that a resolution has been found.

Step 3:
·If a resolution is not found the executive director will become involved. At this time an Athlete may be removed from the club. No fees will be returned.
zero tolerance Policy
We are a ZERO TOLERANCE Club for Drugs, Alcohol, Consumption of Nicotine in All Forms and Bullying.
Alcohol, Nicotine and Drugs: If athletes are caught consuming alcohol, doing illegal drugs or consuming any form of nicotine, whether on social media, from several reliable reports or in person we have the right to immediately remove the athletes from training and all other team activities or events.
Bullying is also a serious matter so if we investigate reports of such abuse and find reasonable evidence that proves someone of bullying in either our team setting, a school setting, or community we have the right to remove the athletes or ban athletes from trying out or coming into our facilities.
Parents/Family Members EAVC prohibits Parents and Players from speaking about other Players negatively and creating an unsafe environment to participate and learn in.
If Parents/Athletes are talking negatively about any athlete, they may be asked to leave the event or training environment.
If Parents/Athletes are talking negatively about other Players/Coaches or Admins and cannot refrain from doing so after being asked to stop, we have the right to suspend training privileges to the Player of the Parent until all negative feedback from that Parent stops. .
If you have concerns please follow the conflict resolution policy.
If Athletes/Parents cannot follow this policy you may be removed from the Club.
No refund will be given.
Play Time Policy
The EAVC Club trains and competes with the intention of excelling at Premiers, Provincials and Nationals. In order to do this, we require a team where all athletes are able to be on the floor and contribute positively to the teams' success.
Individual progress & success is worked on in practice, as well as in competition. Every athlete needs to experience all circumstances of competition and we work to build the individual athletes' abilities through these experiences.
At the 14U/ 15U level, all players listed on the scoresheet MUST start the first or second set. Substitutions are not permitted in either of these sets. In the case of an injury, an exceptional substitution may be made. Any lineup can be used at the start of the third set.
The coaches have the right to determine the lineup that they feel is best suited to meet the goal of the particular level of participation. Coaches will make the decision of what set a player plays and the combination of players on the court based on many different factors.
If a game goes to the third set, athletes who have demonstrated consistent play, positive attitude, and executed game team game plans will be given the opportunity to play. It is the coaches right to play the players in the third set that they believe will best assist the team in achieving its goals. This may change every game, therefore athletes always have the opportunity to make changes, work with the coaches, and earn a spot in the next set/game.
Players are expected to perform certain roles on the bench as well, which greatly contributes to the success of the team. We may have players learn how to keep stats and all players will be required to do this if asked by the coaches.
Practice Attendance Policy
Practice attendance is crucial for both team and individual development. Before signing with EAVC, all athletes and families are required to thoroughly read and understand the following policy.
Excused Practices
Each athlete is permitted 3 excused practices per season.
Excused practices include:

Death or funeral
-
Concussion symptoms (as per concussion protocol)

Acute illness
-
Extreme weather
-
Emergency situations (must be communicated with coaches)
Unexcused Absences

1–2 unexcused absences
→ Result in a one-set suspension.
→ Athletes will play the minimum required points for fair play, then sit out the remainder of the match. -
3–4 unexcused absences
→ Result in a one-match suspension.
→ Same as above, but the suspension carries into the following match. -
5–6 unexcused absences
→ Result in a full tournament suspension.
→ Athlete must meet with a coach before returning to practices. -
7 or more unexcused absences
→ Result in suspension from all competition until the conflict is resolved.
→ If no resolution is reached, the Conflict Resolution Policy will be followed.
Family Vacation Policy

The 3 excused practices are void if parents formally communicate vacation plans at least 3 weeks before departure.

If no formal communication is made, the Practice Attendance Policy applies.

Athletes missing 1–2 practices due to vacation immediately before a competition may receive reduced playing time, at the discretion of the coach.
Refund Policy
EAVC Volleyball Club puts a significant amount of time and energy into determining Club fees. Final fees are based on all of the hard and soft costs of running the Club. Itemized budgets are not provided to teams. All fundraising money earned by the team is to be used by and at the team’s discretion.
As most costs are fixed regardless of the amount and level of participation, refunds cannot be provided for athletes who choose not to or cannot continue participating regardless of the reason or timing. This includes an athlete no longer being able to participate due to an injury.
In the case of the cancellation of the season in whole or in part or any event, due to, but not limited to “acts of God”, changes in the laws of Canada or Province of Alberta, government restrictions, health epidemics, lockouts, strikes, storms, floods, fires or building safety issues, and whereby EAVC Volleyball Club is able to recover funds specific to said event or season, these will be returned to the Club members on a prorated basis.
EAVC reserves the right to dismiss a player based on poor attendance at practices and games. If the coach observes a continual issue of lack of attendance (with no sufficient warning), they may request the athlete be removed from the team. Any decisions will always come with a direct warning to both the athlete and the parents of the athlete from the coach and/or the Club director before dismissal. NO REFUND WILL BE PROVIDED.
